About the Role:

Mercury One’s Event Coordinator will be responsible for providing administrative support to the Development Team, participate in all areas related to stewarding donors, coordinating grants and sponsorship processes. The primary function of this role is providing support and helping to manage our live events, annual fundraising gala’s and new projects.

Event Coordinator Position Duties:

  • Responsible for coordination of all organization’s events and a training facility.
  • Helping to coordinate overall success of annual fundraising events to ensure success of overall organization.
  • Planning event details and all aspects, including rentals, vendors and event management.
  • Liaise with vendors, exhibitors, and stakeholders during the event planning process to ensure everything is in order.
  • Be Team Leader with the planning and management of events from small and simple to large and complex.
  • Manage all event set-up, tear down and follow-up process.
  • Maintain a working knowledge of the complex needs of wide variety of events.
  • Planning for potential scenarios that could impact the integrity of the event.
  • Conduct final inspection on day of event to ensure everything adheres to specifications and standards for event success.
  • Consult with internal/external partners to determine objectives and requirement for events, such as meetings, conferences, and conventions.
  • Coordinate services for events, such as accommodations and transportation for participants, facilities, catering, signage, displays, special needs, requirements printing and event security.
  • Confer with staff at a chosen event site to coordinate details.
  • Arrange the availability of audio-visual equipment, transportation, displays and other event needs.
  • Ensure event insurance and vendor insurance is adding additionally insured.
  • Determining, managing and remaining within budget with all costs.
  • Review event bills for accuracy, manage all event invoices and follow-up accuracy.
  • Provide administrative and event assistance to the Development team as needed.
 

Skills and Qualifications:

  • Bachelor’s Preferred; 3-5 years minimum experience working with large events of over 500 people.
  • Able to interact with individuals at many levels and to handle confidential and sensitive matters.
  • Prior experience with CRM (customer relationship management) database; Blackbaud; RE NXT experience a plus.
  • Able to organize and handle multiple projects, Project Management Experience a plus
  • Detail-oriented; Excellent computer and data entry skills; proficient in Excel, Word, and PowerPoint.
  • Excellent problem solving, customer service, communication – verbal, written, and presentation skills.
  • Experience with non-profits and customer service a plus.
  • A self-motivator, eager to learn and grow, a fast learner; Desire to learn and take on various types of responsibilities.
  • A team player; must be able to work with people within and outside of the Development department.
  • Willing to work outside regular office hours when necessary.
  • Ability to operate effectively in a fast-paced environment.

Position Summary

The Development Manager oversees the daily activities of the Development department and supervises the Development department Staff. Assist in the strategic planning for the department, and development of goals and strategies for all fundraising and gift campaigns. Responsible for maintaining current donor relationships. The position also entails working with Mercury One’s funding of grants to partner organizations in disbursements and subsequent follow-up reports.

 

Essential functions

· Serve as a member of the management team under the direction of the Executive Director

· Lead and manage the Development department team members

· In collaboration with the Executive Director, develops, implements and administers annual resource development plan including annual fundraising events, major gift campaign, corporate grants, capital campaign and individual donations

· Identify and cultivate relationships with prospective donors, supporters and foundations

· Develop relationships and collaborate with key stakeholders

· Maintain proficient knowledge of organization’s history and programs

· Meet with staff, donors, foundations, and partners to create measurability and communicate outcomes for program services

· Cultivate donor recognition & correspondence, in collaboration with Communications and Database Manager including high level acknowledgements, follow-up reports and newsletters

· Manage giving vehicles and strategies for donors such as planned giving and recurring/monthly giving

· Maintain an active portfolio of corporate, civic, and private donor prospects being cultivated and solicited for grants and gifts, including donor upgrade strategies

· Support Communications department with management of brand through consistent donor messaging in all internal and external communications, in collateral pieces and verbal presentations

· In coordination with event planner, manage donor events, fundraising events, and cultivation events

· Assist with marketing and communications as needed related to donors

· Oversee and manage administrative tasks associated with the Development Department

· Assist with any additional or special projects, tasks or duties beyond what is outlined here that may be assigned as required.

Required education and experience

· Bachelor’s Degree required

· 5+ years’ experience in Development or related field, experience with non-profits preferred

· Experience with CRM software, i.e. Blackbaud, Raiser’s Edge NXT, Luminate

· Proficient in MS Office Suite

· Project management experience and the ability to manage multiple projects simultaneously

· Strong organizational skills

· Experience in communications, marketing analytics, and public relations

· Experience coordinating small and large events (2,000+ attendees)

· Excellent communication skills – verbal, written, and presentation

· Desire to learn and take on various types of responsibilities

· A self-motivator, eager to learn and grow

· A team player, must be able to work with people within and outside of the Development department

· Willing to work outside regular business hours when necessary

Position Summary:

The Gift Entry Coordinator is a Full-time hourly position that will be responsible for providing mail processing, donor base data entry and maintenance, and donor phone support.

Essential functions:

  • Assist with the daily Mail receipting, which includes opening, sorting, stamp dating mail, logging checks into Excel deposit batches, and making copies.
  • Assist with the daily keying of donations into the donor database.
  • Assist with the database continual maintenance, including de-dups clean-up, and donor contact information
  • Assist with Matching and 3rd party payor donations process, ensuring matches claimed, deposited, coded, recorded, and reported timely
  • Assist with answering Mercury One’s main phone line, includes directing calls to the appropriate department and handling phone donations and other minor donor requests.
  • Assist with any additional or special projects, tasks or duties beyond what is outlined here that may be assigned as required

Required education and experience

  • Associates Degree minimum or
  • 2 years minimum experience
  • Able to interact with individuals at many levels
  • Experience with CRM (customer relationship management) database; Raiser’s Edge NXT experience a plus

  • Detail-oriented; excellent computer and data entry skills; proficient in Excel, Word, and PowerPoint
